The City Director of Sales & Marketing is responsible for the total sales effort for Eden City Hotels in Amsterdam in line with overall financial and business mix objectives. Eden City Hotels in Amsterdam consist of 6 hotels including the yet to open Eden Parc Hotel combining 840 guest rooms, two restaurant brands, conference- and banquet rooms and bars. Your task is to maintain and increase existing accounts by personal and consistent sales service together with the development of new accounts by planned co-ordinated sales efforts resulting in maximum profits. You will report to the Regional General Manager of Amsterdam and are responsible for 3 Sales Representatives, the E-commerce Manager, Sales Co-ordinator and Sales Trainees. You will maintain internal relationships with the Revenue Managers, Food & Beverage and Front Office Managers, General Managers (all Amsterdam) and the Commercial Director of Eden City Hotels
1. Product and Service Quality • Ensure that all brochures and promotional material used, is in line with the Eden Corporate Identity manual; • Ensure the necessary communication techniques for the flow of information regarding all concentrated business to the relevant departments and hotels; • Ensure that all steps are taken to achieve the goals that are laid down in the budget (both revenue and S&M costs) and the business plan; • Ensure that all existing and potential business clients are visited on a regular basis, in order to review their needs, renew or obtain a commercial contract depending on the nature and the volume of their business. 2. Human Resources • To build further on an effective and motivated team, not only within the S&M department but also in relation to other departments and between the 6 hotels; • Liaise with the Regional General Manager and Human Resources Director regarding man power levels and recruitment; • Ensure the efficient organisation of work-routines for subordinates; • The planning, training and development of subordinates in order to minimise staff turnover and produce a harmonious working environment including 2 yearly staff evaluations and appraisals; • Increase training and development activities for employees influencing the hotel’s sales, control of cost and standards; • Implement the cluster sales structure for the Amsterdam hotels. 3. Communication • Hold weekly follow up meeting with sales staff and have meetings minuted; • Report on month ends on all sales actions, sales results and production statistics backed up with relevant comments; • Communicate all relevant information and knowledge related to business to the sales team as well as to the other relevant departments; • Communicate, where appropriate, with worldwide sales offices in order to maximise revenues for the hotel; • Participate actively in national taskforces and S&M meetings; • Report in the monthly commercial meeting with the General Managers all relevant information on sales calls and results and planning; • Maintain a regular get together with the Revenue Managers and E-commerce team member to ensure their up to date knowledge about new and existing clients and discuss future booking situation. 4. Internal Business Control • To maintain adequate client record files in CRM system showing all relevant information including but not limited by agreed room rates and monthly room night production; • Keep a tracking report of production from key accounts and measure the implications when marking short and long term decisions; • Prepare yearly a cluster Hotel Business Plan in order to respond to changing economic conditions which may affect operational goals; • Obtain on a regular basis the necessary financial and economic data needed to produce and update the hotel’s Business Plan and share this with the team, General Managers and Commercial Director of Eden City Hotels. 5. Business Promotion and Sales • Develop and maintain contacts with competition in order to obtain information on local market conditions and occupancy levels; • Ensure full knowledge about banqueting function facilities and capabilities in order to be able to sell on all amenities; • Ensure the projection of a positive image in sales representations and community activities; • Initiate, organise and participate in (international) workshops, sales drives, trade shows and fairs; • Ensure the measurement of existing and potential business in revenue and gross operation profit in accordance with the business mix report; • Plan local sales promotions in order to maintain competitiveness; • Ensure the planning of local marketing materials and measure their effectiveness; • Prepare break even analysis on promotions in general; • Ensure the knowledge of the hotel’s budget and its availability for selling and marketing; • Usage of public relations as a medium for demonstrating services and products offered by the hotels. 6. General • Ensure all sales staff are aware of fire & safety and fire rules and knows what to do in case of an emergency; • The above is only a basic framework of the job description, and you may be called upon to perform other specific duties when required.
